Bookkeeper/Accounts/Payroll Administrator

Heart of England Farms Ltd is a long established breeder of game birds (pheasants and partridges) and a producer of quality Christmas poultry. The company employs 30 +full time staff and 10 – 15 part-time staff plus seasonal agency workers. Based at Claverdon near Warwick this is where the heart of the business operates from, with an additional farm near Leamington Spa.

The Position:

As an extremely busy business we currently require an Book Keeper/Accounts and Payroll Manager assisting in running the farm office at Claverdon. This is an integral role within the company and will work closely with the Directors of the business. The office team comprises of 4 people, to include this role, some of whom are part-time.

This is a very varied role, your responsibilities will be (but not limited to):

  • Processing Sales and Purchase Invoices ensuring accurate coding is attained
  • Inputting Customer Payments including managing deposits maintaining an accurate record of deposits paid, owed and overdue straddling two financial years.
  • Weekly/Monthly Payment runs
  • Coordinating BACS payments
  • Credit Control including filing with small claims court
  • Bank Reconciliations
  • Credit Card reconciliations
  • Bi-weekly Payroll
  • Producing detailed weekly reports on Excel of the company's financial position comparable to previous years.
  • On boarding of new employees being up date with new regulations and right to work.
  • Company Pension scheme
  • VAT Returns
  • Answering the phone managing enquiries, ‘sales calls’, and genuine customers appropriately
  • Respond to company emails, escalating where necessary
  • Manage staff holidays keeping relevant documentation in order
  • Requesting quotes from suppliers, ordering when required
  • Providing administration support to company owners
  • Petty Cash
  • Managing individual customer orders for our Christmas turkey business, speaking with customers on the phone and processing their orders.
  • all to a high standard

This position is office based and will not become a work from home position.

You will be a quick learner with a methodical approach to following processes combined with attention to detail. A motivated, positive, can-do attitude is essential with the ability to prioritise tasks effectively.

You will have excellent communication skills and a confidant approach to liaising with both internal fellow staff and external customers and suppliers. You will also be highly numerate with good attention to detail with experience of processing customer and supplier financial transactions onto accounting systems. It is a requirement for the role that you will have recent in depth knowledge and use in a commercial environment of Sage 50 Accounts Professional and Sage 50 Payroll, as well as strong demonstrable knowledge of Excel spreadsheets and Word.

Salary offered is dependent upon experience, the higher rate being an individual who can hit the ground running with extensive accounts and payroll experience. We pay bi-weekly and on an hourly basis as opposed to an annual salary. This is a part time role offering between 20 and 30 hours per week. 28 days holiday including bank holidays (pro-rated).

 

Game Farm (Pheasants) / Poultry Assistant

We are a busy and progressive business breeding and rearing game birds (pheasants and partridges) currently requiring a practical and enthusiastic person to fill this position for a Farm Assistant.

Heart of England Farms Ltd over-winter large flocks of birds for breeding in the following season. These flocks are then paired or grouped in the Autumn and the following early Spring to be settled for the start of the breeding season. All birds undertake a health inspection and rigid vaccination programme to ensure their health and the ongoing health of their off-spring. Laying commences in early Spring when our hatchery starts producing the first day old chicks in mid April. Batches of chicks are kept week on week to be reared on to poults.

Initially you will be working within different teams and will help with the responsibility of our breeding birds. Sorting birds from their winter quarters, assisting with the vaccination programme, then placing into the breeding units. Then as the spring progresses you will assist with egg collecting and egg washing on a daily rota basis. Power washing duties will include, equipment used in the rearing of birds, buildings and hatchery on a weekly basis. You will work with the team on a 'bitting' gang, catching birds for sale and working with the staff responsible for the rearing of the birds.

To be suitable for this role you may have some livestock experience, this need not be in game birds but beneficial if you do. It is very important that you are prepared to take responsibility and able to work alone or as part of a team. You will ideally have worked in a similar environment and have prior experience of livestock management.

Salary is totally dependent upon your experience and will be discussed at interview. We are interested in seeing the details of both experienced people who can hit the ground running and are looking for high levels of responsibility or those who have little experience and would like to gain in their knowledge and grow into the role. We have opportunities for both levels of ability.

We offer a 40 hour working week contract (Mon - Fri).  However the actual hours worked will be between 48-55 per week inc weekends.  Weekend work (either a Saturday or Sunday NOT both) is required during busy times. Weekend work attracts an additional pay bonus.  We pay hourly not annually so all hours worked are paid for!
